  • Important Templafy Updates

    There are two important updates that will automatically rollout on October 1, 2024 Brand Change The Templafy brand is changing and will be updated in the application.  If you are on the general release channel (which most are) the update will happen automatically starting October 1st. There is no change to the user experience, just visual changes to the Templafy buttons, and pop ups. A I Assistant included for all Templafy Library Users During October the AI Assistant will be enabled and included in the subscription for all Templafy Library users.   • Closing your Workflow Max by Xero Account

    With Workflow Max by Xero being closed on June 26th, it’s important to close the account correctly and export your data. After 26 June 2024 you won’t have any access to Workflow Max by Xero and the data in it. Step One – Exporting Your Data It’s best to export everything you need, this can be done from Business/ Settings / Export All Data Select Document Export Account Data Export (Chose both CSV and XML) File Export (Use this if you want a list of clients) Custom Template Export Once you have these safely tucked away in Microsoft 365 or Dropbox you can close the account Step Two – Closing your Account Remove the mail to Workflow Max email address Jobs / Collaboration Manager / Configuration Cancel Your Subscription Business / Subscription / Cancel Subscription (If you pay someone else for Workflow Max then get them to do this)

  • Time to book in your Workflow Max Migration!

    It's now time to plan and lock in your migration to the new Workflow Max before Workflow Max by Xero closes on June 26th. The Ripped Orange team have completed many test migrations, and we are actively using the new Workflow Max by Bluerock every day in our business. There have been a few false starts along the way, but migrations are now coming across smoothly. Read our tips on when you should move to Workflow Max by Bluerock. Migration Options We have three options to support your successful migration. You can learn more about the various options below. We are recommending doing a test migration from mid-late April then a final migration from mid-May. Free Support Sessions During May we will be running free support sessions each Friday. These are designed as ask and expert sessions to help you migrate or get the most out of the new Workflow Max.

  • Workflow Max Migration Update

    With just over 100 days until Workflow Max is being retired, now is the time to start planning your change. The Workflow Max you are currently using will stop working on June 26th. We have a range of options to support you to change to the new WorkflowMax by BlueRock , and are planning to start supporting clients to change from early April. Is WorkflowMax by BlueRock ready for me? There are still a range of features that are not available, you can review these on the live feature release schedule. Based on the timeframe, there are some key release dates to consider, please review the full list for your requirements: When should I migrate? Assuming the feature release dates are met, Ripped Orange plan to offer migration services from early April. Actual timing will depend on how you currently use Workflow Max and the features that you need. We can run a test migration now, to assess the quality of the data and highlight any issues you may encounter with data quality. What other options are available?   • "How to Open Files in Desktop Applications: A Step-By-Step Guide"

    As organisations adopt Microsoft 365 more, they slowly switch from sending to collaborating on files that are stored in Microsoft 365. With this change the default way people open and edit documents changes from using the installed applications to working in the browser. This brings advantages and disadvantages. Users may have to go through multiple steps to open a file in the desktop application, firstly opening in SharePoint / Teams then opening in the desktop. For users that like to use the fully featured desktop application this can be a pain.  Users often want to use the desktop application for the following reasons: Access to a wider range of styles View headers and footers Access more advanced features Change shared link settings: Adjust the way links that are shared with you open in Office.  Once changed this will work across all Office application. Change the default behaviour of documents stored in SharePoint This will force documents you open from SharePoint Online to open in the desktop. This setting has to be applied on each document library. You can find this setting in Library Settings / Advanced Settings Adjust the default behaviour for opening documents Teams. You can force Microsoft Teams to open an application in the Desktop from the settings below.  However… this feature is also only available for users with the more expensive E3 or E5 licencing, which disappointing.   • Microsoft 365 - Price Increase

    In July this year Microsoft announced price increases to some Microsoft 365 products, this followed some other changes in the way licences are changed. Ripped Orange was able to defer the changes in price and flexibility because of the way we purchase licences, however this will stop in February 2024 as we are forced into a new way to purchase licences. From February 1, 2024 your Microsoft licences will change to the following for the most popular licences: Notes: Prices in NZD excluding GST Price as at 8 December 2013 and subject to change If your specific product is not here contact Ripped Orange for details. Your February invoice will be updated to reflect these changes.   • Managing Microsoft Templates – Organisation Template Library

    Microsoft Office Template files provide a way to create consistent documents that follow your organisation styles.  Files can contain premade content to speed up the process of creating documents. Making templates easy to find and use is a constant challenge these files are designed so when they are opened you take a copy of the file, and do not change the base file. Templates have been distributed for decades across networks, often in a folder called “Templates” that users have read only access.  To make it easier for users some organisations include templates in the Work Group Template location or use group policy to include a copy in the User Template Folder. Read for more detail: Manage Office programs templates – Office | Microsoft Docs However, there are limitations of this approach ones you move to Microsoft 365. The network server is no longer used Files are not visible in Office online. Saving and Working with Organisation Templates in Microsoft 365 There are few ways to manage templates: Sync via OneDrive Files can be stored in a document library and synced to each user’s device. Advantages of this approach is the actual template file is on the user’s PC so they can access it offline if they want.  The disadvantage is the user needs to navigate to this location to access the template. Include the files in the SharePoint document library. It is now easier to customise the new menu in a document to include templates as below.  However, there is no easy central store for templates so multiple copies of templates would need to be created. Add Template to SharePoint New menu Create Microsoft Organisation wide template Library An Microsoft organisation wide template library is a document library that, with some PowerShell magic, is visible from within all users Office applications.  It can be used for templates and images.   • Aptos - new default font for Office

    After 15 years Microsoft will soon change the default font in all Office applications from Calibri to a new font called Aptos. Designed by Steve Matson the font was designed to have the astute tone of The Late Show host Stephen Colbert. You can read the full back story on the font here. As with most Microsoft changes it's always good to understand what is changing. New Default Font Aptos New Office documents will have Aptos as their default font instead of Calibri. If you have loaded a different default font, then there will be no change. New Default Colour Pallet The range of colours that you can pick from are changing. Grey and Yellow are being replaced with Turquoise and Plum. We love that Orange is still number two. If you already use a custom theme in your documents, then there will be no change. New Outline Weights Changes are coming to the weight and shading of lines. New Default Theme Changes are coming to the default set of themes. Change will only impact the default settings. None of these changes will impact you if you use templates with custom themes and fonts. If you would like to discuss any potential impacts, contact Ripped Orange to discuss today.
